Privacy notice

How your personal information is used when you contact me through this website.

Who is responsible for your information

I am a mortgage and protection adviser with Vickers Young Limited, an appointed representative of Stonebridge Mortgage Solutions Limited. In this notice, "we" means Vickers Young and me as your adviser.

The information you give will be processed in accordance with the General Data Protection Regulation (GDPR) and the Data Protection Act 2018. We take these obligations seriously. All our staff are provided with appropriate training and are required to comply with formal data protection policies, guidelines and procedures designed to keep personal data secure and support privacy.

What information I collect

When you use the enquiry form I collect the details you give me, such as your name, email address, phone number, the type of enquiry, your preferred contact method and any message you write.

If you go on to take advice, we will need to hold some personal information about you to enable us to give you the right advice. We will not collect any personal data from you that we do not need in order to provide and oversee our services. If you do not provide the information we ask for, we will be unable to provide the services you have requested.

It may also benefit you to tell us about any health condition or disability you have. This is known as "special category information" (you may also know it as "sensitive personal data") and we require your explicit consent to process it. It will only be collected from you and used to assist you in connection with an insurance application, so it may be shared with an insurance company in order for them to consider your application. Some insurers may give you the option of speaking to them directly instead.

How I use it

I use this information to respond to your enquiry and, if you wish to go ahead, to arrange an appointment. I will not use it for unrelated marketing without your agreement.

If you become a client, we may use the personal information you supply to meet your needs in arranging a mortgage, loan, protection and any associated arrangements. Data will be processed in the legitimate interest of the business, which is to operate our business effectively.

If you provide an email address, you consent to us sending communications by email. While we will take reasonable steps to ensure the security of information sent by email, you accept the risks involved with this type of communication.

We would like the chance to tell you about new financial products or extra services, for example when your mortgage rate comes to an end, but only if we think you will be interested and only if you give us permission. We will only keep in touch with you in this way for up to five years unless you renew your permission.

Who I share it with

Your information may be shared with Vickers Young Limited and Stonebridge Mortgage Solutions Limited where needed to handle your enquiry. Messages sent through the enquiry form are processed by a contracted software provider on my behalf.

If you become a client, your information may also be shared:

  • with Stonebridge Group and its representatives, to manage your dealings with us
  • with third parties relevant to the transaction, such as lenders, insurers, lending specialists or contracted software providers
  • with third parties such as your employer, accountant or a credit reference agency, in order to verify your circumstances
  • with the Financial Conduct Authority, for compliance monitoring purposes
  • with Stonebridge Mortgage Solutions Ltd. or its representatives, to conduct compliance monitoring, to prevent financial crime, and to contact you to make sure you have received adequate advice

All the personal data we hold about you will be processed by our staff in the United Kingdom. The third parties above will have access to your personal data where they provide a service to us or where we have a legal obligation to provide it. Your information may be stored on a cloud-based system whose servers are located within the United Kingdom.

How long I keep it

We will generally keep your personal data for a minimum of 6 years after our business relationship, after which time it will be destroyed if it is no longer required for the lawful purpose(s) for which it was obtained. The business relationship will usually be classed as over once we are aware any mortgage or insurance product has ended.

Your rights

You have rights over your personal information under data protection legislation:

  • to ask for a copy of your information, usually free of charge. We will respond to this request within a month
  • to receive certain data you have provided to us in a structured and commonly used electronic format, so that you can move, copy or transfer it easily to another data controller, and to ask us to send it directly to another organisation where that is practical
  • to have personal data rectified if it is inaccurate or incomplete
  • to have data deleted if it is no longer needed, if there is no longer a legitimate reason for the processing, or if it has been unlawfully processed. You may also ask for deletion if the data was only being processed because you consented and you now withdraw your consent
  • to object to the processing of your personal data. This gives you the right to raise your objections, not a blanket right to have all processing cease
  • to restrict the processing of your personal data in certain circumstances, including while its accuracy is being verified or while an objection you have raised is being considered

To exercise them, contact me at jamesc@vickersyoung.co.uk.

If you wish to raise a complaint about how your personal data has been handled, you can contact complaints@stonebridgegroup.co.uk and they will investigate your concerns. If you are not satisfied with the response, or believe your data is being processed unfairly or unlawfully, you can complain to the Information Commissioner's Office at ico.org.uk/concerns.
